Privacy Policy

How we collect, use, and protect your personal information.

Broomstones Curling Club (“Broomstones,” “we,” “us,” or “our”) is a 501(c)(3) non-profit organization operating a curling facility in Wayland, MA. This Privacy Policy explains what personal information we collect through our member portal and website, how we use it, and your rights with respect to that information.

Information We Collect

We collect information you provide when you create an account or register for activities:

  • Identity: first and last name, date of birth
  • Contact: email address, phone number, mailing address
  • Membership: membership class, enrollment history, USA Curling and GNCC member IDs
  • Payment: dues and event fee payment history (payment card data is held by Stripe and never stored on our servers)
  • Activity: league registrations, game records, volunteer hours, event registrations, and practice ice bookings
  • Waivers: signed liability waiver acceptance records, including timestamp and IP address at signing
  • Authentication: passkey credentials (stored as public-key cryptographic material only; your private key never leaves your device)
  • For minors: emergency contact information and medical insurance details (collected during Junior Program enrollment; access strictly limited)

We also collect limited technical data automatically when you use our website:

  • IP address and browser type (server access logs; retained for 90 days)
  • Session tokens (stored as an encrypted cookie; expires after 30 days of inactivity)

We do not use third-party advertising trackers or analytics cookies.

How We Use Your Information

  • Administer your membership, process dues payments, and manage league registrations
  • Communicate with you about your membership, upcoming events, and club news
  • Maintain accurate game records and league standings
  • Fulfill legal obligations (e.g., financial records required for non-profit compliance)
  • Operate the Junior Program, including emergency contact notification if needed
  • Report aggregate (anonymized) membership statistics to USA Curling and GNCC as required by affiliation agreements

We do not sell your personal information. We do not share it with third parties except as necessary to deliver services you have requested (e.g., Stripe for payment processing, Resend for transactional email) or as required by law.

Your Rights

You have the right to:

  • Access your data. You may request a copy of all personal information we hold about you. We will provide it within 30 days in a readable format.
  • Correct your data. You can update your contact information and profile at any time through the member portal. For corrections to historical records, contact us.
  • Delete your data. You may request deletion of your personal information. Because we are legally required to retain certain financial and liability records, full deletion is not always possible — in those cases we anonymize your identity while preserving the records required by law. Deletion requests are reviewed and approved by a club administrator.

Security

The Broomstones member portal uses passkey (WebAuthn) authentication — a modern, phishing-resistant standard that does not rely on passwords. All data is transmitted over HTTPS. Payment processing is handled entirely by Stripe; we never receive or store card numbers.
